Information collected
- Business contact details, role, organisation and correspondence.
- Information supplied to prepare, discuss or deliver an engagement, including a desired start window and work location.
- Contract, invoicing, payment, supplier and due-diligence records.
- Limited technical logs such as IP address, browser, device, security events and pages requested.
- A UK postcode or an outside-UK business or site address entered for distance calculation. The calculator does not require a person's name or detailed project data.
How information is used
- To provide an estimate and respond to an enquiry.
- To assess fit, conflicts, availability, scope and working arrangements.
- To form, administer and deliver contracts.
- To invoice, keep records and meet tax and legal obligations.
- To secure, operate and improve the site and business systems.
- To establish, exercise or defend legal rights and manage business risk.
Lawful bases
Information is processed where necessary to take steps at your request before a contract, perform a contract, comply with a legal obligation, or pursue legitimate interests such as operating a professional consultancy, responding to business enquiries, maintaining security and keeping appropriate records.
Consent will be requested where the law requires it. You may withdraw consent at any time without affecting earlier processing.
Who receives information
Information may be shared only where reasonably necessary with hosting and infrastructure providers, postcode, geocoding and routing services, email and document providers, accountants, insurers, legal and other professional advisers, subcontractors approved for an engagement, public authorities, and a purchaser or successor to the business.
Service providers are expected to process information under appropriate contractual and security controls. Personal information is not sold.
International processing
Some technology providers may process information outside the United Kingdom. Where required, HOWAT LTD relies on an adequacy decision, approved contractual safeguards or another lawful transfer mechanism and considers supplementary security measures.
Retention
Enquiries that do not lead to work are normally kept for up to 24 months. Contract, finance and tax records are normally retained for at least six years after the relevant financial period or longer where law, insurance or a dispute requires. Security logs are kept for a shorter period proportionate to their purpose.
Information may be deleted earlier where it is no longer needed and no legal, contractual or legitimate reason requires retention. Successful international address matches may be held in a short-lived server cache to avoid repeating requests to the geocoding service.
Your rights
Depending on the circumstances, you may ask for access, correction, deletion, restriction, portability or an objection to processing. You may also complain to the UK Information Commissioner's Office at ico.org.uk. The ICO will usually expect you to raise the issue with HOWAT LTD first.
Security and required information
Reasonable technical and organisational safeguards are used, but no internet service can guarantee absolute security. Please do not send confidential data through the public quotation calculator.
Where information is needed to enter or perform a contract, failure to provide it may prevent HOWAT LTD from accepting or delivering the engagement.
Changes
This notice may be updated as services, suppliers or legal requirements change. The current version and update date will remain on this page.
